Overview

The Court Information Clerk performs a variety of complex clerical functions in accordance with established service standards, procedures, and business rules. The Court Information Clerk is responsible for ensuring the information maintained in the Driver File is accurate and complete.

 

The Court Information Clerk prepares and produces documents and correspondence to be entered into evidence in court proceedings for law enforcement, government agencies and the courts. The position also responds to roadside enquiries from law enforcement regarding driver’s licence status, and responds to and provides detailed information on program policies and requirements to internal and external stakeholders

Responsibilities

  • Works with multiple Driver Record applications and workflow management tools to update customer information:
    • DLS - Driver Licensing System
    • DTE - DLS Transaction Entry
    • IRE - Interprovincial Records System
    • IWS - Insurance Work Station
    • EDMS - Electronic Document Management System
    • CON System - Common Offence Notification System
    • CARS - Claims Administration and Reporting System
    • Certified Mail Administrator & Requestor
  • Adds, amends or removes suspensions, conditions and general information lines on driver records using the DLS and DTE system. Ensures the change is accurate by referencing other systems such as IWS and EDMS.
  • Prepares and produces Court Certificates, which are evidenciary packages and documents for law enforcement, government agencies and the courts regarding driver records to be used for court and vehicle impoundment hearings which includes the following:
    • Reviews driver records to ensure all information will be correctly displayed on driver abstract and driver record form.
    • Ensures dispositions for all Criminal Code offences are recorded on driver abstract.
    • Identifies any discrepancies in the file and initiate corrections to the appropriate department.
    • Determines the most impactful and appropriate sanction, prepares and produces the appropriate and related court certificate document.
    • Reviews customer record in EDMS or on Fiche, locates the related supporting documents (i.e. suspension notice), ensures documents are prepared and certified as true copies for the court package.
    • Verifies certified mail administrator to review if suspension letters were signed for, and provides correspondence as to the outcome.
    • Makes enquiries to various agencies regarding information required for court.
    • Interprets any conviction, suspension, and prohibition to determine if it needs to be included on the driving record. Reproduces the driving record for court purposes, as required.
    • Prepares and types affidavits for corrections, as required.
    • Contacts government agencies, crown attorneys, courts, law enforcement, and vehicle impoundment registry to verify, obtain, and provide information.
    • Creates court packages with court certificate and supporting documents, and submits them to the requesting party.
    • May be required to attend Court in person to speak to the record, and or the documents produced
  • Answers incoming phone enquiries from, and provides information regarding corporate procedures and confidential driver files to, law enforcement, government agencies and the courts.  
  • Reviews driver records, verifies discrepancies and investigates information received.
  • Interprets driver’s records and court certificates, which may include attending court as witness if required.
  • Interacts with other departments as necessary in order to obtain information needed.

Qualifications

Education:

  • High school diploma or equivalent.

Experience:

  • Two years of office or customer service experience, including six months experience within Driver Records processing transactions.

Technical Knowledge and Skills:

  • Intermediate communication skills to convey moderately complex information in a concise and straightforward manner. 
  • Working knowledge of MS Office including Word, Excel, SharePoint and PowerPoint. 
  • Establish and maintain effective relationships with leaders, peers, and other departments. 
  • Knowledge of driver licensing, testing, processing, driver fitness, data corrections and data processing.
