Overview

Under general supervision the Mail and Warehouse Clerk performs routine, repetitive mail processing and warehousing work as well as clerical duties of a moderately complex nature. The Mail and Warehouse Clerk works on a rotational basis within the department, performing a variety of functions such as Mail Clerk, Stock Order Filling Clerk, Service Centre Courier and Receiving Clerk.

Responsibilities

Mail Clerk

  • Sort incoming and outgoing mail.
  • Perform interdepartmental mail runs according to the delivery schedule.
  • Hand stuffs envelopes.
  • Runs outgoing mail through postage machine.
  • Prepare payment requisitions.
  • Assist with department reception.
  • Perform other duties as assigned.

 

Stock Order Filling Clerk

  • Participates in the semi-annual physical inventory reconciliation process.
  • Receive orders from Receiving Clerk and fills orders in accordance with procedures.
  • Picks and packages items and places in designated area for delivery/pick up.
  • Prepare shipping labels and contacts carriers for pick up.
  • Assist the Senior Mail and Warehouse Clerk with large volume distributions.
  • Prepare end-of-day mail manifest for Canada Post and deliver mono(s) to loading dock.
  • Perform other duties as assigned.

 

Service Centre Courier

  • Pick up mail from the Post Office and cancelled cheque register.
  • Pick up and delivers Rates Appeal Documents in accordance with prescribed schedule.
  • Pick up, delivers and sorts mail and supplies to all Winnipeg Service Centres and Plessis Road according to the delivery schedule.
  • Sort mail and supplies for all MPI locations.
  • Accurately maintains daily mileage reports and submits at month end.
  • Monitor and maintains vehicle fuel levels on a regular basis.
  • Washe vehicle each Friday or as required.
  • Operate vehicle safely and prudently.
  • Perform scheduled check-ins in accordance with work alone procedures.
  • Perform other duties as assigned.

 

Receiving Clerk

  • Participates in the semi-annual physical inventory reconciliation process.
  • Prepare inventory requisitions/non-stocks to maintain inventory of departmental stock and shipping supplies.
  • Receive incoming shipments. Checks shipping bill and packing slip for accuracy.
  • Performs close out procedures for complete requisitions/orders.
  • Stock inventory items on designated shelving. Rotates stock to ensure oldest is assigned first.
  • Bags and weighs Priority Post for processing.
  • Process outgoing priority post and other transfer company items.
  • Complete end of day manifest for Canada Post.
  • Maintain log for incoming courier shipments and registered mail.
  • Review payment requisitions for accuracy.
  • Assist with department reception.
  • Perform other duties as assigned.

Qualifications

Education:

  • High school diploma or equivalent.

 

Experience:

  • One year practical experience in an office environment.
  • One year of related, progressive experience in an inventory control and/or mailroom environment is an asset.

 

Technical Knowledge and Skills:

  • Ability to learn assigned tasks readily.
  • Ability to adhere to an established office routine.
  • Intermediate ability to work effectively as part of a team.
  • Handles multiple tasks and prioritizes assignments to meet deadlines.
  • Ability to work independently and under pressure in a fast-pasted environment.
  • Ability to work with accuracy and attention to detail.
  • Maintains confidentiality.
  • Working knowledge of MS Office including Word, Excel and SharePoint.
  • Working knowledge of departmental policy and procedures.
  • Knowledge of inventory control practices and Lawson inventory system.

Conditions of Employment

  • Candidates must have a full, valid class 5 driver’s licence 
  • Must adhere to safety equipment requirements, including forklift and pallet operations. 
  • Required to wear safety shoes and other personal protective equipment. 
  • Ability to work various shifts 7:45 AM – 3:45 PM, 8:00 AM – 4:00 PM
