Overview

As the Executive Assistant, you are responsible for coordinating the Executive Office by keeping abreast of ongoing or arising situations within the divisions and corporation, maintaining constant communication and understanding the priorities as defined by the Executives.

 

The Executive Assistant will provide accurate, professional, and highly confidential administrative services to support the President and the Executive team in the planning and execution of divisional requirements and services.

Responsibilities

  • Act as the primary point of contact for the Executive Office including for internal/external stakeholders, demonstrating professionalism and discretion in all interactions.
  • Coordinate the Executives’ schedules and calendars to meet daily requirements.
  • Provide regular communication and workflow management for the Executive team to support daily operations, control of paperwork and deadlines.
  • Expedite matters of high priority and of a confidential nature and in the Executives’ absence, scrutinize and direct matters to the appropriate level as required.
  • Coordinate, log, and track communication of requests, issues, enquiries, and other action items to the appropriate Executive.
  • Draft, provide input and proofread urgent and highly confidential documentation, including briefing material and correspondence.
  • Welcome visitors and control traffic within the Executive Office to minimize distractions and protect the confidentiality of meetings occurring within the office.
  • Schedule, communicate and coordinate activities associated with the weekly Executive Committee, including meeting invites, agendas and meeting materials.

Qualifications

Education:

  • Certificate in Administration or related discipline.
  • Microsoft Office Suite Certification is an asset.
  • Additional Administrative Professional courses is an asset.

Experience:

  • Five years of progressive experience in a senior administrative role in a large office environment.

Technical Knowledge and Skills:

  • Forward thinking and actively anticipates Executive and senior leadership team support needs.
  • Superior verbal and written communication skills.
  • Demonstrated skill in maximizing the effectiveness of various Microsoft Office tools and programs, MS Teams, SharePoint Online, advanced and up to date computer skills.
  • Exceptional organizational skills to autonomously function in a high volume, fast paced, consistently changing work environment, where priorities shift often through the day.
  • Manage self and various overlapping activities occurring within the Executive office daily.
  • Exceptional customer service skills.
